How to Compress a PDF Without Losing Readability

Work through a two-page sample PDF, from uploading and choosing a profile to downloading and checking the result. Aim for a file that is small enough to share and still easy to read.

Keep the original and check the limit

Save the original PDF and find out the recipient’s attachment limit before choosing settings. For practice, imagine a 350 KB limit: our 375 KB sample is too large. This is a hypothetical destination limit, not the tool’s upload limit.

Download the original above to follow along. It contains two self-authored English pages with fictional chart data and a table, rendered as scanned pages. The tool handles one PDF up to 100 MB. Do not upload private IDs or contracts just to practice.

Select the PDF and verify the file

Open the PDF Compressor using the button above. These are real English desktop screenshots; on a smaller screen the controls may move, but their order is unchanged.

Choose one PDF
Click the upload area in the workspace and choose a .pdf file from your device. The practice file is named mvtools-pdf-demo.pdf.
Check the name and size
The selected area should show mvtools-pdf-demo.pdf and 375 KB. Click it again if you picked the wrong file. Selecting the file alone does not start compression.

Start with Balanced

Keep the default Balanced profile for a first comparison. Its name does not guarantee a smaller file. Review the output before moving toward smaller size or higher image quality.

Run, read the result and download

Click Compress PDF and wait. Do not submit again while it is processing. When finished, the tool shows status, file sizes and a download button.

Read the numbers, not only the status
COMPLETED means a PDF was produced, not that it became smaller. Here Balanced changes 375 KB to 387 KB, with -3.4% reported saving. That minus sign means the output grew; it does not meet our hypothetical 350 KB limit.

Compare the same pages

Open both PDFs at normal reading size, then zoom into the chart values, table and small-print line. The images below show the same page rendered at the same size.

A webpage thumbnail is not a substitute for inspecting the PDF. Download both files at the top; repeat these checks on the smaller retry result too.

Page count and order: two pages, with no missing or blank pages.
Text and numbers: no missing characters or unreadable small print.
Tables and charts: labels, thin lines and values remain intact.
Intended use: size meets the limit. Also check signatures and scan any required codes in your own files.

Retry and troubleshoot

Our first output grew, so we selected the original again, chose Smallest file and ran the tool. This actual retry produced 115 KB, saving 69.4%. It is under the hypothetical 350 KB limit, but still needs the readability checks above.

Problem	Next action
Still over the limit	Try Smallest file from the original. If quality suffers, keep only needed pages or improve the source export.
Blurry text or images	Retry the original with High quality or Maximum quality. If the original is blurry, rescan or export it again.
No reduction or a larger output	The source may already be optimized. Keep the original if it serves your purpose better.
Failure or a long wait	Check that the PDF opens locally, is not password-protected and is under 100 MB. Re-export damaged or complex documents from the source application.
Expired download	Select the original and run again. A task download URL is not a permanent sharing link.

Know where files are processed

This tool uploads your PDF to the server and compresses it with Ghostscript; it is not browser-only processing. Upload only files you are comfortable processing online.

Temporary files have a default retention of 30 minutes with periodic cleanup. Processing has a default two-minute timeout. Download promptly; task results are not permanent storage.

Do I need an account?

These screenshots were captured while signed out. You do not need an account to follow this PDF compression workflow.

Why are my numbers different?

Images, fonts and existing optimization affect the result. Our Balanced output grew; the Smallest file retry reduced it. Neither result predicts the saving for your file.

What if my screen looks different?

The screenshots show the English desktop interface on 2026-09-10. Look for the file selector, compression level, Compress PDF and Download PDF; layout and colors depend on screen size and theme.
